HELPFUL INFORMATION FOR 2023
ANNUAL CONFERENCE PRESENTERS
Digital handouts
Learning Forward distributes handouts electronically. For attendees to have access to digital handouts via the conference app, all handouts must be submitted electronically by November 24, 2023:
- Session Handout(s). Handouts are not limited; however, they cannot exceed 10GB each.
- Presentation slides – if you would like to provide your presentation slides as a digital handout, a PDF of your presentation slides needs to be electronically submitted.
***Please include your session number at the beginning of each digital handout submitted to this DropBox folder.
Presenters are welcomed to share their materials with attendees via a QR code and/or tiny URL; however, the same QR code and/or tiny URL must also be submitted to conferenceinfo@learningforward.org before the start of the annual conference.
Presenters are welcomed to ship materials to the FedEx office located onsite at the Gaylord National; however, presenters are responsible for FedEx’s package handling and storage fees.
Registration numbers and presenter agreements
Want to check your session's registration numbers? Using your Learning Forward login, the person who originally submitted the proposal can log into the conference proposal system at lfp.learningforward.org to access the following:

- Session's registration numbers
- Download a copy of the signed Presenter Agreement
Note: to view your session's registration numbers after November 14, 2023, login to the conference proposal system and select the orange button on the right hand side of the screen that reads Access Washington 2023. Once you are in the 2023 proposal site, you will see a purple box with your proposal’s title posted. Within this purple box, you will see a smaller orange box that will list the number of attendees registered for your session.
Session evaluations
All sessions at the conference will be evaluated using an online session evaluation provided by KickUp. Presenters and/or the session's host will facilitate this process and ask participants for an overall rating of the session, the use of effective teaching and learning strategies, the impact of the learning on participants’ work, the primary way what was learned will be used, and other comments.

Meeting room set up and audio-visual equipment
All preconference and concurrent session meeting rooms are set in rounds or pods of 8-9. These rooms will be set with AV within an hour before the session start time.
Learning Forward will provide all preconference and concurrent session rooms with a screen, LCD projector, and wireless internet connectivity.
- Sessions under 45 participants will need to bring their own speaker for sound, if sharing video(s) or music.
- Sessions with 45 or more participants will be provided with an audio patch for their computer and one microphone.
Please be sure that you can connect your laptop to VGA connection. Some laptops, such as Macs, require an adapter to connect and we cannot guarantee we will have enough in supply.
Any other AV equipment needed must be ordered through the conference AV provider. Associated costs are the responsibility of the presenter.
Experience has taught us that WIFI can be uncertain when it comes to sharing livestream videos. To prevent any issues during your session, presenters need to download videos to their laptop for sharing purposes. Please do not rely on the internet to livestream during the annual conference.
Roundtable/table talk sessions
Roundtable/Table Talk sessions are 45-minute presentations with an additional 15-minutes for Q&A. They are excellent venues for giving and receiving feedback, engaging in in-depth discussions, and meeting colleagues with similar interests. Roundtable/Table Talk sessions will take place in a designated banquet room. Each session is limited to 12-14 participants, seated together at a table. AV is not provided.
Session hosts
All preconference and concurrent sessions will have an assigned session host. In addition, a member of the host committee will be accessible during your session.
Onsite presenter supply room
While supplies last, the following items will be available to borrow from the presenter room, located near volunteer check-in.
- Chart paper
- Markers
- Highlighters
- Post-it notes
- Index cards
2023 promotions kit
All presenters are strongly encouraged to promote your session via social media and personal outreach. Please visit the 2023 Promo Kit for social media posts to share, electronic badges and more!

Non-commercial policy
Learning Forward policy prohibits the sale of products and services during conference presentations. Presenters may not display or distribute brochures or order forms, talk about their services, promote themselves, or sell their publications; however, referencing or citing a presenter's own publications is appropriate.
2024 call for proposals
The 2024 Call for Proposals opens on November 14, 2023 and it will close at 11:59pm ET on Wednesday, January 31, 2024!
